Job brief
We are seeking a Receptionist with a friendly personality to be the first point of contact of our company by welcoming guests, receiving phone calls, along with other administrative and clerical tasks.
Responsibilities
- Great visitors when they arrive at the office.
- Ability to make customers feel welcome by utilizing personal approach to service and maintain a positive attitude.
- Receive and distribute documents from and to couriers, and ensure they are correctly delivered.
- Be able to handle emotional, confrontational people in a calm and professional manner.
- Never lose composure.
- Receive and screen phone calls throughout the day in a courteous and articulate way.
- Schedule appointments and meetings.
- Scheduling conference rooms.
- Guide guests to the waiting room, and then the relevant person.
- Make sure the reception area is presentable and tidy.
- Monitor and maintain inventory supplies in the office, including the responsibility to order next stuff.
- Monitor the visitor assets as security awareness.
- Offer secretarial support to executive staff.
- Type, scan, and copy documents.
- Order cafeteria supplies in the office including coffee, tea, and others.
- Assist Facility Manager with communication and coordination with vendors in regards to the office.
- Other duties as assigned.
Requirements
- High school diploma or its equivalent
- Experience working as a Front Office Representative, Receptionist, or similar role
- Proficient with Microsoft Office
- Excellent typing skills (50-60 wpm)
- Be a self-motivated individual and display initiative
- As well as be a team player and love to make guests feel at home
- Professional appearance and attitude
- Good written and verbal communication skills
- Able to multitask and customer minded attitude
- Commitment to work overtime on occasion
- Demonstrate excellent organizational, coordination and time management skills
