Job brief
We are seeking a dynamic, driven, and service-focused Meeting Manager to join our team. The ideal candidate will have a broad range of experience in the hospitality sector and have excellent organizational skills, the focus of the role will be to ensure a fantastic experience for persons using the meeting facilities at the establishment as well as managing bookings and ensuring relevant rooms/space is available.
Responsibilities
- Inspect meeting rooms to ensure they are clean, and of good standard.
- Ensure inspections are complete before meeting parties leave to check for damages and apply applicable charges.
- Inspect public areas such as landings, stairways, and walkways to ensure they are clean and obstacle-free, and to ensure health and safety regulations are being adhered to.
- Inspect furniture to ensure that they are in good condition.
- Manage the schedule of meeting rooms to ensure availability when required.
- Book meeting rooms out for meetings that are on the calendar to ensure no double booking.
- Arrange and order food deliveries for meetings that require catering.
- Arrange and order beverages for meetings that require drinks.
- Ensure suitable equipment is in the meeting rooms such as whiteboard or overhead projectors.
- Meet and greet attendees of meetings and direct them to the correct room for their meeting.
- Arrange for stationary to be present if required, such as notebooks and paper and pens.
- Answer any questions that attendees may have.
Requirements
- Bachelor’s degree or above in hospitality or related field
- Minimum of 2 years of experience in a conference, administrative or schedule management position
- Excellent communication skills both written and verbal
- Excellent problem-solving skills
- Great customer service skills
- Confident with all computer programs including, Excel, Word, and Outlook
- Experience with providing reports and providing detailed presentations
