Job Brief
We are seeking an energetic and organized Event Coordinator to join our team. As an Event Coordinator, you will be responsible for managing and executing events of various sizes and types, providing excellent customer service to clients, and ensuring events run smoothly from start to finish. The ideal candidate will have excellent communication skills, be able to work well under pressure, and be highly detail-oriented.
Responsibilities
- Collaborate with clients to plan and execute events of various sizes and types, including weddings, corporate events, and fundraisers.
- Coordinate all aspects of event planning, including location, vendors, catering, decor, and entertainment.
- Manage event budgets and timelines to ensure events are completed within budget and on time.
- Communicate clearly and effectively with clients and vendors to ensure everyone is on the same page and that events run smoothly.
- Handle logistics such as parking, transportation, and security for events.
- Provide excellent customer service to clients and attendees, responding to questions and concerns in a timely and professional manner.
- Conduct site visits and attend rehearsals to ensure all aspects of the event meet the client's expectations.
- Oversee event set-up, execution, and breakdown to ensure everything runs smoothly and according to plan.
- Manage event staff and volunteers, ensuring everyone is properly trained and knows their responsibilities.
- Stay up-to-date on industry trends and best practices in event planning, and incorporate new ideas into event planning as appropriate.
Requirements
- Bachelor's degree in event planning, hospitality, or related field preferred
- 2+ years of experience in event coordination or related field
- Excellent communication skills, both written and verbal
- Highly organized with strong attention to detail
- Ability to work independently and as part of a team
- Ability to work under pressure and meet tight deadlines
- Excellent customer service skills, with the ability to handle difficult situations calmly and professionally
- Knowledge of event planning software and tools, such as Cvent or Eventbrite, preferred
- Ability to work flexible hours, including evenings and weekends
- Valid driver's license and reliable transportation
