Why does it matter? 

It can sometimes be hard for recruiters to keep track of each candidate and which stage of the hiring process they are in. Sending reminder emails is a great way of ensuring everything goes smoothly, by making sure the candidate will be present for the agreed interview date.

When to send?

Send this email within one week to a few days before the actual interview date. Doing so will ensure the interviewee has the interview in mind, instead of possibly realizing that they had forgotten the interview at the last minute.

What to include?

Make sure to include the position they have applied for, the name and position of the person they will have an interview with, and a clear reiteration of the agreed interview date.

Please keep in mind that this is a template. You may change it to suit your company's voice and tone.

Email subject line: [Company Name] - Reminder for Scheduled Interview

Hello [CANDIDATE NAME],

Please allow me to send you a gentle reminder of our scheduled interview date on [AGREED DATE AND TIME].

For your reference, our address is [ADDRESS OF INTERVIEW VENUE]. Please arrive at least 15 minutes prior to the scheduled time and ask for [NAME AND POSITION OF INTERVIEWER].

If you happen to be unavailable for the scheduled date and time, kindly let me know as soon as possible.

Please feel free to inform me if you have any questions or require additional information in the interim.
