Sending out a group email or advertising on the internal staff newsletter is a great way to let your current employees know about new and exciting vacancies that are available within the organization.

Why does it matter?

Promoting from within is usually a company’s preferred way of filling up new vacancies. It is important that new vacancies are effectively showcased internally and a good way to do this is to send out an email update.

When to send?

It's important to keep in mind that this type of email should be sent only after the hiring manager has confirmed the vacancy has been confirmed. It should be sent out internally before the role is advertised externally.

What to include?

Include as much information as you can about the role and use the bullet points below as a guide:

  • The job title
  • The job duties (briefly)
  • Skills/qualifications required
  • Date interviews will start
  • How to apply

Dear All,

An exciting opportunity is now open within the [Department] for a [Job title].

We are asking all interested persons to apply directly to the HR department before the role is advertised on external job boards.

The role of [Job title] will require the following skills [Skills, e.g. communication, math, etc] and would be suitable for team members holding the following [Qualifications/experience].

We are hoping to start interviews on [Date] and would encourage interested applicants to have expressed their interest by [Date]. To do so, please complete an internal application form and send it to the HR department.
