Job Brief

We are seeking an experienced and organized Office Administrator to join our team. The successful candidate will be responsible for overseeing the day-to-day operations of our office, ensuring that all administrative duties are completed efficiently and effectively. The ideal candidate should have excellent communication skills, be detail-oriented, and possess the ability to multitask and prioritize tasks.

Responsibilities

  1. Oversee and manage all administrative functions of the office, including answering phones, responding to emails, and greeting visitors.
  2. Maintain office supplies and equipment, ensuring that they are always in good working order and fully stocked.
  3. Manage relationships with vendors and service providers, including negotiating contracts and ensuring that services are delivered on time and within budget.
  4. Develop and maintain filing systems, both paper and electronic, ensuring that all documents are properly stored and easily accessible.
  5. Coordinate and schedule meetings, appointments, and travel arrangements for staff members.
  6. Manage and distribute incoming and outgoing mail, including packages and deliveries.
  7. Assist with the preparation and organization of company events, including meetings, conferences, and social gatherings.
  8. Provide general administrative support to all departments, including data entry, report preparation, and other tasks as assigned.

Requirements

  1. Bachelor's degree in Business Administration or related field
  2. Proven experience as an Office Administrator or in a similar role
  3. Excellent organizational and time-management skills, with the ability to multitask and prioritize tasks effectively
  4. Strong communication skills, both written and verbal
  5. Proficiency in Microsoft Office Suite and other office software
  6. Knowledge of office management procedures and systems
  7. Ability to work independently and as part of a team
  8. Strong attention to detail and accuracy
  9. Professional demeanor and appearance
  10. Ability to maintain confidentiality of sensitive information
  11. Familiarity with basic accounting principles and procedures is a plus
  12. Ability to adapt to changing priorities and handle multiple tasks simultaneously
